Prospective sponsors and exhibitors will be asked to sign the Ecocity World Summit Declaration and Values. Please download it here and return it signed to the Summit Secretariat.

The exhibition is a vital part of Ecocity 2019. Every effort will be made to ensure that all exhibitors receive prime exposure and direct marketing opportunities with delegates. Efforts include, but are not limited to:

  • Welcome Reception in the Exhibit Hall on the evening of Tuesday, October 8
  • Exhibit Hall located beside of the session rooms, on the passage of every delegate
  • Morning and afternoon networking breaks in the Exhibit Hall on all Summit days
  • Delegate lounges throughout the day and Poster presentations in the evening in the Exhibit Hall

Level sponsors have first choice in selecting booth location, followed by exhibitors on a “first-paid, first-served” basis. No exhibitor may sublet or share with another exhibitor.

Congress Program Support (click to expand)

The Summit offers several opportunities for your organization to support a Day Theme, or Keynote Session, or Concurrent Session in the Program.

Support includes acknowledgement on the Summit website, in the Program Book, and on any Summit schedule when relevant. It also includes your logo on screen and verbal acknowledgement by the moderator at the beginning and end of the session.

Concurrent Session CAD 2,000 each
There will be up to 4 concurrent sessions per time slot, up to 4 times a day.

There will be 2 Keynote sessions each day, for a total of 6. No other session is scheduled at the time of a Keynote session.

1 The Summit Secretariat will send e-blasts to interested parties on a regular basis prior to the event to update on newest developments about the Summit. Your custom banner will be displayed in the body of the e-blast.

2 All confirmed delegates will receive a final confirmation email a few days before the Summit, with valuable information such as Venue address, Registration Desk hours, etc. Your custom banner will be displayed in the body of the email.

3 Every morning (Wednesday - Thursday - Friday), the Summit Secretariat will provide delegates with an email update highlighting the best sessions and presentations scheduled for that day. It will also include any session or room changes to make sure delegates always have the most up-to-date information. Your custom banner will be displayed in the body of the email.

Sponsor will be responsible for providing the banner ad as per specifications to be communicated by the Summit Secretariat.

Virtual Delegate Bag Item CAD 1,500 each
While the Summit won't provide attendees with a Delegate Bag, you will still have the opportunity to offer a virtual item that attendees will be able to download to their Virtual Delegate Bag. The item could be:

  • Discounts for a product or service
  • Vouchers or E-gift cards for complimentary items
  • PDF Brochures or ebooks
  • Dedicated event webpage or app
  • Another item of your choice - to be approved by Summit Secretariat

As the sponsor of this Virtual Delegate Bag Item, you will:

  • Have the opportunity to offer your item virtually to all attendees
  • Be acknowledged with your logo in the Program Book as the Sponsor of this item
Volunteer Shirts (Exclusive) CAD 2,000
Volunteers are important to the success of the Summit. Over 40 staff and volunteers are necessary to ensure it runs smoothly. These individuals wear shirts for clear identification, constantly providing assistance, and making the attendees feel welcome.

As the exclusive sponsor of the Volunteer Shirts, you will:

  • Have your logo on the shirts along with the Summit logo
  • Be acknowledged with your logo in the Program Book as the Sponsor of the Volunteer Shirts
Delegate Help Desk (Exclusive) CAD 3,000
The Delegate Help Desk will be located within the registration area at the Convention Centre. Staff will be available to assist delegates with any questions they may have regarding the Summit, the Program, or Vancouver.

As the exclusive sponsor of the Delegate Help Desk, you will:

  • Have the desk branded with your logo/custom design
  • Be acknowledged with your logo in the Program Book as the Sponsor of the Delegate Help Desk
Networking Break (5 available) CAD 3,000 each
Networking opportunities are among the most important reasons the delegates attend the Summit. Each day, the Summit will provide snacks and refreshments during the morning and afternoon networking breaks, served in the Exhibit Hall for all attendees free of charge.

As the sponsor of one of the Networking Breaks, you will:

  • Have table top cards with your logo on all food and beverage stations during your selected networking break
  • Be acknowledged with your logo in the Program Book as the Sponsor of the selected Networking Break
Poster Session (2 available) CAD 6,000
Abstracts accepted for poster presentations will be displayed on poster boards in the Exhibit Hall. Presenters will be present during refreshment breaks on the day of their Poster Session to answer questions and discuss their research with delegates. On the evenings of Wednesday and Thursday, food and beverage will be offered during "Poster Presentations" to generate a festive atmosphere conducive to beneficial exchanges.

As the sponsor of one of the Poster Sessions, you will:

  • Have the opportunity to position one or two custom free-standing banners in the Poster area on your selected day (banner(s) supplied by Sponsor; maximum size 3’ x 5’)
  • Have your logo displayed on table top cards on all food and beverage stations during the Poster Presentation on your selected day
  • Be acknowledged as the Sponsor of the selected Poster Session with your logo in the Program Book
Umbrellas (Exclusive) CAD 7,500
Vancouver can be a rainy city some days in October. What better way to put your brand in front of delegates than provide them with much-needed umbrellas when the clouds open?

As the exclusive sponsor of the Umbrellas, you will have your logo alongside the Summit logo on the umbrellas provided to delegates.

Charging Lounge (Exclusive) CAD 7,500
A Charging Lounge will allow attendees to power up their mobile phones, tablets, laptops, and other electronic devices for free, while providing a comfortable seating area to conduct meetings, check emails or simply to study the Summit program. It will be in high demand and can be placed in the Exhibit Hall near your booth.

As the exclusive sponsor of the Charging Lounge, you will:

  • Have the Charging Lounge branded with your logo/custom design
  • Have the opportunity to position a custom free-standing banner in the Charging Lounge (banner supplied by Sponsor; maximum size 3' x 5')
  • Be acknowledged with your logo in the Program Book as the Sponsor of the Charging Lounge
Hotel Key Card Branding (3 available) CAD 7,500 per hotel
Several hotels contracted by the Summit Secretariat offer the opportunity to custom brand their hotel key cards. This is a unique opportunity to put your branding in the hands of most delegates.

Please note that the sponsorship price does not include the production of the key cards. Please contact the Summit Secretariat for further information on this option.

Luncheon (3 available) CAD 7,500 each
Each day, the Summit will provide lunch to all attendees free of charge. Lunch will be served in the Exhibit Hall.

As the sponsor of one of the Luncheons, you will:

  • Have table top cards with your logo on all food and beverage stations during your selected luncheon
  • Be acknowledged with your logo in the Program Book as the Sponsor of the selected Luncheon
USB Sticks of Abstracts (Exclusive) CAD 7,500
Each registered delegate will receive a USB memory stick with the collection of all abstracts submitted and accepted for presentation at the Summit. It will be handed out when the delegates pick up their registration package.

As the exclusive sponsor of the USB Sticks of Abstracts, you will:

  • Have your logo displayed on the outside of the USB sticks
  • Be acknowledged with your logo in the Program Book as the Sponsor of the USB Sticks of Abstracts
Welcome Reception (Exclusive) CAD 10,000
The Welcome Reception will take place on the evening of Tuesday, October 8 in the Exhibit Hall. It is the official opening of the Summit, providing delegates and exhibitors with the opportunity to mix and mingle, and increase professional connections.

As the exclusive sponsor of the Welcome Reception, you will:

  • Have table top cards with your logo on all food and beverage stations during the Welcome Reception
  • Be acknowledged with your logo on the website, Program Book and mobile app as the Sponsor of the Welcome Reception
Wireless Internet (Exclusive) CAD 10,000
Wireless internet will be available throughout the venue at no charge allowing delegates to use the Summit Mobile App to view the program, access abstracts, or connect with other delegates and colleagues.

As the exclusive sponsor of the Wireless Internet, you will:

  • Have your logo displayed on all relevant signage associated with the wireless internet
  • Have your custom graphic displayed on the access page of the wireless network (to be confirmed)

Summit Dinner (Exclusive) CAD 10,000
The Summit Dinner will take place on the evening of Wednesday, October 9. All delegates are invited to attend this event at a nominal charge and nearly 70% of Summit delegates attend the dinner.

As the exclusive sponsor of the Summit Dinner, you will:

  • Receive four (4) complimentary tickets to the dinner
  • Have your logo placed on the tickets, menu cards and onsite signage
  • Be acknowledged as the Sponsor of the Summit Dinner with your logo on the website, Program Book and mobile app, as well as at the venue and verbally during the event
Lanyards (Exclusive) CAD 15,000
All delegates will receive a name badge and lanyard to be worn for identification during the Summit.

As the exclusive sponsor of the Lanyards, you will:

  • Have your logo on all lanyards along with the Summit logo (lanyards provided by Summit Secretariat)
  • Be acknowledged with your logo in the Program Book as the Sponsor of the Lanyards
Mobile App (Exclusive) CAD 15,000
The Mobile Application will be available free of charge for most iOS and Android mobile devices. The mobile app will include the full program, the exhibit floorplan including exhibitor biographies and general Summit, venue and local information. Timely updates about any Program Book changes or important announcements will be sent through the app via notification alerts.

As the exclusive sponsor of the Mobile App, you will:

  • Have your logo displayed in the Sponsored App Section
  • Have the opportunity to have one (1) pinned Promoted Message or one (1) Push Notification per day
  • Be acknowledged with your logo in the Program Book as the Sponsor of the Mobile App

Accommodation

The Summit Secretariat (International Conference Services, Ltd.) is the official housing bureau for Ecocity 2019 and will offer assistance with the coordination of housing requirements for the Summit. Discounted room rates have been negotiated for delegates and groups. All sponsors and exhibitors are asked to support the Summit by booking accommodations via the official Housing Bureau. Priority selection of hotel rooms will be granted to sponsors.

The Summit Secretariat retains the right to downgrade sponsorship levels if sponsors do not book through the official Housing Bureau. Accommodation booking will be available through the Summit website.
